Executive Assistant
This position provides high level administrative support to the President/CEO. Maintains a close and highly responsive relationship with the Board of Directors, CFO and other professional staff. Serves as direct supervisor of the Administrative Secretaries. Performs varied administrative functions based on understanding of company policy, executive’s views and procedures related to the work of OFMQ.
Responsibilities:
• Provides direct clerical and secretarial support to the President/CEO and works closely with executive personnel of organization.
• Assists the President/CEO in the timely management of all communication, both written and via telephone, email and voice mail with a varied audience.
• Responsible for calendar management, requiring interaction with both internal and external participants, as well as consultants and govemental agencies, to coordinate a variety of complex executive meetings.
• Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
• Maintains Articles of Incorporation, bylaws, minutes, and other corporate documents and files.
• Serves as liaison to the Board of Directors and is responsible for documents and agendas for board meetings and corporate minutes.
• Organizes and coordinates Annual Board of Director’s Election process; the preparation and mailing of letters requesting nominations and official ballots to the OFMQ Membership.
• Coordinates the preparation of all contracts, Memorandums of Understanding and Agreements.
• Coordinates the renewal application for the URAC Accreditation process by uploading the documents electronically and maintaining the original documents in the Administrative files.
• Prepares agendas and handouts for corporate meetings. Attends meetings to record and transcribe meeting minutes and serves as an active member of organizational teams.
• Screens telephone calls, visitors and incoming correspondence.
• Prepares and formats correspondence and other materials, in accordance with OFMQ’s corporate image guidelines.
• Maintains on-site and off-site administrative files for the corporation, ensuring all documentation is filed in accordance with corporate business files standards.
Requirements:
• Associate’s Degree and a minimum of five years of general secretarial experience, Bachelor’s preferred.
• Typing skill of 60 wpm with high accuracy level, excellent spelling and proofreading skills.
• Excellent communication skills for use in meetings, one-to-one interactions and on telephone.
• Knowledge of general clerical duties such as file maintenance and telephone activities.
• Excellent skills in planning and organizing work flow.
